PTB Final Review Process

After a Responder has completed all requirements for a Position Task Book, they initiate the final review process. They perform the final submission from within the Responder Portal.

Once a PTB has been submitted, the Qualifications and Training Managers are responsible for the review process. The review process for PTBs is determined by each organization.

OneResponder provides a platform allowing administrators to Approve or Withdraw a PTB and does not require that organizations adopt a new PTB review process.

The sections below provide steps on how to:

  • Review PTB workflow and approve submitted PTB's.
  • Remove Task Endorsements or Task Waivers on a PTB, and add additional tasks to a submitted PTB.
  • Remove additional qualification requirement endorsements/waivers from a PTB.
  • Remove an awarded training and decertify an awarded training on a PTB.
  • Withdraw a PTB.

Review PTB Workflow/Approve Submitted PTB

Review PTB Workflow:
  1. Log in to Organization Manager.
  2. In the top right corner of the page, locate the bell icon. If there are open workflows, there will be a number next to the bell icon that displays the number of open workflows.
  3. Select the bell icon to view all open workflows. There are several types of workflows that can be reviewed within the system.
  4. Select the magnifying glass search icon next to the workflow categorized as:
    • Class: Postion Task Book
    • Type: Approve Task Book
    • Description: Approve PTB

  5. This will take you to a page containing all information about the workflow. To view the PTB, locate the Task Book/ View Task Book link, found in the 'Workflow Information' panel at the top of the page.
Approve Submitted PTB
  1. Select the magnifying glass search icon next to the workflow categorized as:
    • Class: Position Task Book
    • Type: Approve Task Book
    • Description: Approve PTB
  2. This will take you to a page containing all information about the workflow. To view the PTB, locate the Task Book/ View Task Book link, found in the Workflow Information panel at the top of the page.
  3. If your organization has conducted a review and wants to approve the PTB, select Approve at the top right of the page.

  4. You will be prompted to confirm your approval. Add any necessary comments to provide context to the PTB approval.
  5. Select Approve at the bottom right of the modal to confirm your approval and update the workflow.For more information, visit our 'Organization PTB Management.' User Guide.

Remove Task Endorsements/Remove Task Waivers on a PTB

Remove Task Endorsements on a PTB
  1. This action is performed on the PTB Details page, accessible through either the 'Qualifications' menu, or by selecting the "View Task Book" hyperlink on the Workflow Details page.
  2. Locate and select the Manage button on the Tasks menu bar.
  3. In the table listing all required Tasks, locate and select Edit next to the Endorsed Task.
  4. Select Remove Endorsement in the bottom left of the modal.

    If you need to remove multiple endorsements, repeat steps as many times as necessary.

  5. Select Save in the top right of the page to save the removal(s) and update the individual's PTB.
Remove Task Waivers on a PTB
  1. Locate and select Manage on the Tasks menu bar.
  2. In the table listing all required Tasks, locate and select Edit next to the Waived Task.
  3. Select Remove Waiver in the bottom left of the modal.

    If you need to remove multiple task waivers, repeat steps as many times as necessary.

  4. Select Save in the top right of the page to save the removal and update the individual's PTB.
Add Additional Task to a Submitted PTB

To view the PTB, locate the Task Book/ View Task Book link, found in the Workflow Information panel at the top of the page.

  1. Locate and select Manage on the Tasks menu bar.
  2. Select + Add Custom Task found at the top right of the page.

  3. In the Task text input line, type the Task.
  4. Select the appropriate Completion Code(s) using the checkmark icon.
  5. Select Save at the bottom right of the modal.
  6. Select Save at the top right of the page to confirm the Task addition and update the individual's PTB.

  1. To view the PTB, locate the Task Book/View Task Book link, found in the Workflow Information panel at the top of the page.
  2. Locate and select the Manage button on the 'Additional Qualification Requirements' menu bar.
  3. In the table listing all required requirements, locate and select Edit next to the endorsed requirement.
  4. Select Remove Endorsement in the bottom left of the modal. If you need to remove multiple endorsements, repeat steps as many times as necessary.
  5. Select Save in the top right of the page to save the removal(s) and update the individual's PTB.
Remove Additional Qualification Requirement Waivers from a PTB
  1. To view the PTB, locate the Task Book/View Task Book link, found in the Workflow Information panel at the top of the page.
  2. Locate and select the Manage button on the Additional Qualification Requirements menu bar.
  3. In the table listing all required requirements, locate and select Edit next to the waived requirement.
  4. Select Remove Waiver in the bottom left of the modal. If you need to remove multiple endorsements, repeat steps as many times as necessary.
  5. Select Save in the top right of the page to save the removal(s) and update the individual's PTB.

Remove Awarded Training/Decertify Awarded Training on a PTB

  1. Log in to Organization Manager.
  2. In the dark grey menu on the left-hand side of the page, locate and select the 'Organization' option to display specific navigation options. Select the 'Personnel' option to navigate to a list of all personnel within your organization.
  3. Select the magnifying glass search icon next to the individual's name to navigate to their Personnel Details page.
  4. Locate and select Manage on the Trainings menu bar to navigate to the 'Manage Training' page.
  5. Locate and select Edit to the left of the appropriate training course. This will open a modal allowing you to edit the training credit information.
  6. Locate and select x Remove at the top right of the modal.

  7. Select Update to update the training record and close the modal. If you need to remove multiple courses, repeat steps as many times as necessary.
  8. To confirm this removal, select Save in the top right of the page. This will remove the training record entirely from the individual's training record. If this training is listed as a requirement for any open PTBs, it will be marked as incomplete and not count toward overall PTB completion.
Decertify Awarded Training on a PTB
  1. Log in to Organization Manager
  2. In the dark grey menu on the left-hand side of the page, locate and select the 'Organization' option to display specific navigation options. Select the 'Personnel' option to navigate to a list of all personnel within your organization.
  3. Select the magnifying glass search icon next to the individual's name to navigate to their Personnel Details page.
  4. Locate and select Manage on the Trainings menu bar to navigate to the 'Manage Training' page.
  5. Locate and select Edit to the left of the appropriate training course. This will open a modal allowing you to edit the training credit information.
  6. Locate and select - Decertify in the top right of the modal.

  7. Select Update to update the training record and close the modal.
  8. Once the modal has been closed, the Effective Date for the altered course will be displayed as red text with a strikethrough --.If you need to decertify multiple courses, repeat steps as many times as necessary.
  9. To confirm your decertification(s), locate and select Save in the top right of the page.
  10. You will be prompted with a warning modal to confirm your choice. If you select Save and Decertify, this will confirm your decertification and update the individual's training record.

Withdraw a PTB

  1. Log in to Organization Manager.
  2. In the top right corner of the page, locate the bell icon. If there are open workflows, there will be a number next to the bell icon that displays the number of open workflows.
  3. Select the bell icon to view all open workflows. There are several types of workflows that can be reviewed within the system.
  4. Select the magnifying glass search icon next to the workflow categorized as:
    • Class: Position Task Book
    • Type: Approve Task Book
    • Description: Approve PTB
  5. This will take you to a page containing all information about the workflow.
  6. To view the PTB, locate the Task Book/View Task Book link, found in the Workflow Information panel at the top of the page.
  7. On the Position Task Book page, locate and select x Withdraw in the top right of the page.

  8. You will be prompted to confirm your choice with a modal. Add a comment to provide context to the PTB withdrawal.
  9. Select x Withdraw PTB at the bottom right of the modal to confirm your choice and withdraw the PTB from the individual.
