Calendar

Introduction

Sites such as exercises and communities may contain a calendar of events. This calendar provides members with two calendar types: My Calendars (i.e., personal calendars for the user) and Site Calendars (i.e., shared calendars for the exercise or community). All members may create events on their personal calendars. Members with specific permissions can create and manage events for site calendars. Members can create events that occur only once or they may create events that are recurring. Additionally, members can invite users to an event, and invitees can identify whether they will attend.

Permissions: Managers and Moderators of an exercise or community can add, edit, and delete events on the site calendars.

Calendar types can be toggled on or off in the display by selecting the calendar name in the My Calendars or Current Site Calendars list.

A screenshot of a small calendar alongside a large calendar is shown. The small calendar only shows the days of the month. The large calendar has room for text. Three of the dates include text: Controller on October 8, Review Exercise on October 14, and IPM on October 24. Four buttons are shown at the top left side of the screen: Add Event, Today, and two buttons to move the calendar forward or backward. Four additional buttons are dhown at the top right side of the screen: Day, Week, Month, and Agenda. The Month button is selected. Along the left side of the large calendar, below the small calendar, is a My Calendars heading with a Jane Doe calendar underneath. Below that is an Exercise ABC's Calendars heading with Exercise ABC underneath. A third heading, Other Calendars, is shown also. An arrow indicates that selecting the Jane Doe calendar will remove events on that calendar from the large calendar display.

To view information about an event, select the event and opt to "View Details."

Information about a Controller Meeting is shown. The user is presented with the question "Attend?" and the options of Yes, Maybe, and No. Maybe and No are links. Information is provided about when the event will occur: Tue, October 08. The event is displayed on the Exercise ABC calendar. No users are listed for the meeting. Only one resource is listed: Exercise ABC. Four buttons are listed across the bottom of the screen: Save, Edit, View Details, and Delete. The View Details button is highlighted.

Add Event

When an event is posted to the Site Calendar, all site members can view the event.

To create an event, you may select the drop down arrow beside the targeted calendar and select Add Event (option 1 in image below). This method helps ensure your event is added to the correct calendar. Alternatively, you may add an event by (2) clicking Add Event or (3) clicking a date or time within the calendar itself. Options 1 and 2 lead to the same detailed event form; option 3 leads to a shortened version of this form. The detailed event form is explained below.

First, a dropdown arrow beside the Exercise ABC calendar is highlighted, followed by Add Event. Second, the Add Event button at the top of the screen is highlighted. Third, October 10 is highlighted on the large calendar.

Within the event form, provide an event title, adjust dates and times (or select All day), and verify the calendar selection within the Details section. This verification is important.

You can choose to make the event recurring by selecting Repeat and identifying how often the event recurs. You can also include a description and location.

A New Event form is shown. Eight fields are shown: Title, Starts (and time), Ends (and time), All Day checkbox, Repeat checkbox, Description, Calendar, and Location. The Calendar and Location fields are under a collapsible “Details” heading. The Starts field is populated with 10/01/2019, 04:00 AM. The end date is populated with 10/01/2019, 05:00 AM. The Calendar field is populated with Exercise ABC.

Note: Calendar invitations and notifications are not enabled features at this time.

Click Save when finished creating the event details.
